Custodians
Westgate Building and the Eric J. Barron Innovation Hub are in OPP District 32. Service hours are 5:00 a.m.–1:30 p.m. and 4:30 p.m.–1:00 a.m.
You are responsible for emptying your own trash, recycling, and composting into the receptacles in the hallway. Once you recycle and compost, you should have very little to no trash. Be courteous and clean up after yourselves. Bugs and rodents are attracted to spills and food, so take care to keep these items contained.
Storage
The college has minimal storage with restricted access on the west side of the building. If you have something you do not need to access frequently and would like to store it for future use, label it with your name and date and email facilities@ist.psu.edu for storage.
Office Furniture and Desk Accessories
If you need office furniture or desk accessories, email facilities@ist.psu.edu. Purchasing furniture on your own or with University funds is not permitted. Doing so may lead to not being reimbursed for the purchase.
Portable Heaters
Portable heaters are not permitted at Penn State, per the Energy Conservation Policy AD64. If you feel your workspace is uncomfortable, email facilities@ist.psu.edu.
Maintenance
If you see something that needs to be physically repaired, email facilities@ist.psu.edu.
Bulletin Boards
Only post flyers on the public bulletin boards near the elevators and in the classrooms, or use digital signage by sending the information to marcomm@ist.psu.edu.

Penn State is committed to supporting those employees who choose to breastfeed and supports a work environment conducive to the continuation of breastfeeding following the birth of a child/children.
Westgate does not have an official lactation station. Room 204 in the Eric J. Barron Innovation Hub is a wellness room that can be used for lactation.
Policy HR 20 provides a list of lactation stations across campus.

Outgoing and Incoming
Picked up and delivered once a day:
- Westgate in mailrooms E140 and E398
- Eric J. Barron Innovation Hub in room 409
Graduate students are notified they have mail and where it can be picked up. If it is not picked up and has no forwarding address, it is discarded. If it has a forwarding address, it must be kept for 1.5 years until discarded.
UPS, FedEx and DHL all have swipe access to the loading dock to drop packages and leave. If they need a signature, the companies are directed to push the red button next to W130A. The button automatically sends an email to select individuals notifying them a signature is needed. This email would require a rapid “reply to all” by the person responding to the signature indicating to the others not to respond. This prevents all of us ending up at the dock for a simple task.
Penn State Campus Mailings
Mail is delivered to Penn State campuses several times a week. The maximum size permitted is 12 x 9 x 1 (magazine size). If the item is larger or you have multiple items going to the same location, that requires different packaging, you would need to fill out a Metered Mail Slip or FedEx Shipment Form.
Preparing USPS
- Visit the Multimedia Print Center website.
- Scroll down to Incoming and Outgoing Mail > Metering and FedEx Services
- Select “Meter Slip form” in blue print.
- Move your mouse to the left side of the screen and the gray area will expand
- Hover over and select the icon for Mailing RTS
- Enter the account number (7080######)
- Enter the description of what you are mailing (ex. book, pamphlet, catalog, etc.)
- Enter the number of pieces you are mailing
- Select “Print RTS”
- Attached printed slip to mailing
- Place in outgoing mail
Preparing FedEx
FedEx is the only company contracted by Penn State.
- Visit the Multimedia Print Center website.
- Scroll down and select “FedEx shipment form”
- Log in with your Penn State credentials
- Complete the form as directed
- Select “Generate Form”
- Print the generated form
- Attached printed form to package
- Place in outgoing mail
If you have a pre-paid shipping label, call 1-800-GOFEDEX (or the company the label is for) to schedule a pick-up from your office.
If you need a return label, request it when completing the form.
If you need a return label to get items back to campus, fill out and generate the FedEx shipment form and email it to mpcmail@psu.edu. Be sure to put the package's weight and dimensions in the body of the email. A label will be emailed to the sender from FedEx to print.
All Other Shipping Companies
- Prepare the package with prepaid shipping label.
- Call the company of choice to schedule a pick-up from your office.

- Open the Teams app in full screen mode.
- On the left side of the screen, click on “Calls."
- Entering your geographical location is optional.
- Above the keypad on your screen, click in the box “Type a name or number”.
- Enter the area code and number you want to call (ex. 814-865-1234).
- Under the keypad on your screen, click on the “Call” button.
Microsoft Office 365 has training available.

Faculty, staff and students needing access in the building should email facilities@ist.psu.edu. If you are issued a key of any sort, you must return it to the Office of Facilities before leaving the College of IST permanently.

Before requesting space, review the List of Reservable Spaces. Depending on which space you'd like to reserve, you'll need to use either 25Live or Office 365. Be sure to use the correct reservation system to request your desired space.

- List of Reservable Spaces
- First time users should allow one business day for your account to be verified and updated with your appropriate campus access.
- IST rooms are assigned within 24 hours. Other locations are assigned at their discretion.
- If you need assistance with submitting a request, email facilities@ist.psu.edu.
Requesting Space
- Login on 25Live with your Penn State credentials.
- Click Create an Event.
- Enter the Event Name (ex. Lab Meeting, Table Request, 25Live Training, Project Meeting, etc.)
- Select the Event Type from the drop-down menu that best describes your request.
- If just reserving event supplies, type Resource Request.
- Sponsoring Organization, from the drop down menu search or browse for your organization.
- Date and Time, enter the start and end time of the actual event
- Do not add in extra time before and after the event
- If just reserving event supplies, choose the date and time needed.
- Do not uncheck the box “The event begins and ends on the same day”, even for repeating events.
- Additional Time, select yes or no.
- If no, proceed to #11
- If yes, enter times accordingly
- Event Repeat, select appropriately from the dropdown menu and answer questions accordingly.
- Enter the Expected Attendance
- If just reserving event supplies, type 1.
- Locations, type the name of the building you want (ex: Westgate) at Search for Locations
- Click on your choice in the displayed results.
- A red triangle means the location is not available. A green check mark means the location is available.
- To save time in the future and note frequently used location by clicking on the yellow star. A block of bricks means you don’t have permissions to that location.
- Request Resources, type IST at Search for Resources
- Click on the resource(s) needed.
- If you want it on the IST Events Calendar you must choose the calendar(s) you want it on.
- To save time in the future and note frequently used resources click on the yellow star.
- Select the number next to Quantity and enter how many of this resource you need.
- Attached Files, attach any setup diagram or any pertinent information.
- Additional Event Information, complete the fields with a red asterisk.
- Add any Comments, Notes, etc. that are pertinent.
- Click Save. The event has been saved in a tentative status, but not confirmed. A confirmation email will be sent to the requestor’s PSU email address when the event has been confirmed.
Editing Your Confirmed Space
Within IST
- Email facilities@ist.psu.edu to change your event status to tentative.
- From the Home screen, type event name at Search for Event.
- Select Edit next to your event.
- Make changes as necessary.
Outside of IST
- Email the approver(s).
Copying a Previous Request
- From the Home screen, type event name at Search for Event.
- Click on the event name in blue.
- Click Copy at the top right corner.
- Make changes as necessary to include the location.

- To use Zoom capabilities at the Eric J. Barron Innovation Hub, you will need to place a request in Office 365 and 25Live.
Requesting Space
- Go to your Outlook calendar.
- Click New Appointment.
- Choose the date and times for the event.
- Type the name of the event at Title.
- Click Invite Attendees.
- Click the Required button.
- Click for Barron or Westgate.
- Double-click the room of choice.
- Click OK.
- Click Send.
- Wait for approval.
